WHAT IS ProjeX?

 

ProjeX is a tool for planning and managing projects which is developed by PRO-C team. ProjeX is mainly for companies who need a centralized communication & organization environment while carrying out their projects and it can also be used by every individual who need a little bit planning. It offers the users project, task, user, resource, group management facilities. Since it is a web-based tool, it can be used easily everywhere in the world just with a browser and internet connection. Also it is possible to install the program into the intranet server of a company using the executable files.

USER&GROUP MANAGEMENT

 

·         Create Users & Groups: The ‘admin’ who creates the company account can create accounts for the people working in the company and can also define work groups from those users.

·         Automatic e-mail Notifications: When a user account is created by the ‘admin’ the username and automatically generated password is sent to the mail address of the corresponding user. Also when a user is assigned to a task, a notification mail is sent to the user.

·         Assign Users & Groups to Tasks: ProjeX can also keep track of the ‘who is responsible for which task’ information.

HOW TO USE ProjeX ?

 

Since it is a web-based tool, ProjeX can be accessed from its web site or can be downloaded as an executable. The installation manual (for the system administrator ) is available in the program package as COMPILATION MANUAL.

 

After the installation of the system, one can start to use the program in a web browser.

Below are the introduction of the interfaces and their functionalities for the system users:

 

1.       First Meeting with ProjeX 

 

The default page that the user first meets is sign-up/ log-in page.

 

 

 

 

 

                Button Functionalities

 

login :  If the user has an account, he/she can just enters the company login name, username and password to the input boxes and pressing the login button, he/she will be directed to his/her account for that company.

                signup : If the user is a system administrator who wants to create a company account, he/she needs to use the signup button.

                help :  Directs user to the help pages for using the program (works the same all through out the program)

                Türkçe: When the user wants to use the program in Turkish, this button should be used. (works the same all through out the program)

 

 

2.     Signing up for a company account

               

                First a company account should be created by the administrator.

 

 

                Button Functionalities

 

                Continue registration : After providing the input boxes with the required data, the administrator has created the company profile and can continue the registering process. A company login name should be provided for the users to log in to the system using it (preferably initials of the company or a short name for the company)

                back : goes to the previous page (works the same all throughout the program)

                sign out : signs the user out from the system and returns back (works the same all throughout the program)

 

3.     Administrator Profile

 

 

A user profile for the administrator should be created. After all inputs are entered into input boxes, the account is created and the administrator is given all the permissions for processes that can be done in the system.

 

                Button Functionalities

 

                Continue registration : After providing the input boxes with the required data, the administrator has created the his/her profile and can continue the registering process.

 

4.     Administrator Main Page

 

At the end of the account creation, the user will be directed to the main page where initially nothing but the menus will appear. (Since there is no project created for that company yet)

 

Button Functionalities

 

                Add project : This button directs the user to project creation page. Only the users who have the permissions to create a project can see this button as active (in red & white).

*It is similar for add task, add profile, add resource buttons on the left.

                Statistics: This button directs the user to the page which shows the statistical data about the tasks, projects and resources.

                Filter : The three combo boxes on top of the page are for filtering the project data according to their statuses, priorities and percentages of completion and displaying the projects according to them.

               

 

5.     Creating a project:

 

 

Button Functionalities

 

                Create project : The project properties are entered here and priority, status and the percentage of work done can be selected, and also resources can be added to the project in this page.  So when the create project button is pressed, a project will be created for the active company and the user will be directed to the current projects’ page.

 

6.     Displaying added projects

 

When the user creates a project, he/she will then be redirected to the main user page where the projects of the current user are displayed. Here now , one can use the filtering options described above.

 

Button Functionalities

 

Resources : this button allows the user  to see the resources that are added to the projects.

7.     Editing/ Viewing a Project

 

Editing a project: When one of the projects is clicked on the ongoing projects page, the users who have the permissions to change project details will be diplayed the project edit/view page.

 

 

 

Button Functionalities

 

Edit project : If this button is clicked, the updated project information will be sent to the database.  A user might just choose to view the page for the project properties without editing the project.

 

8.     Creating/Adding Tasks to a Project/Group

               

                In a projects page a project is chosen and the add a task button is pressed, user will be directed to the task adding page. Here user can enter task properties and assign the task to users if there are any users added to the system. If there are other tasks already added to the project, they will be displayed here , too.  The user who has the correct permissions can add tasks to groups also.

 

 

                Assigning members or groups the tasks can be done by checking the options of group and/or member and selecting names of the groups and/or members from the combobox.

 

Button Functionalities

 

Create task: This button adds the task to the current project of the current company by assigning the task to users selected on the page.

 

 

After the task is added, the user will be redirected to the following page where the tasks added to that project are to be displayed.

9.     Creating Users

 

To create users, the administrator (or any project member who has the permissions to add a user) needs to click on the “add user ” button on the main administrator page.

 

 

The administrator does not need to provide every detail about the user. Only the name, surname and e-mail information of the user should be provided and the permission of the user should be selected using the checkboxes.

 

 

Button Functionalities

 

Create profile and notify user : When a user account is created, the user will be sent e-mail notifications about his/her new account using the e-mail address entered on this page and the log-in information for that account. If the user logs into the system after he/she receives his log in information, he/she will see the buttons active only if he/she has the permissions to see them.  Otherwise, the buttons will appear inactive (gray).

 

After the new project member is added the following page is displayed notifying the user:

 

 

 

 

 

10. Editing Tasks

 

The users who have the permissions to edit taks can see this page and change the task information, the completion percentages, update or edit tasks using this page.

 

Button Functionalities

 

Delete task :  Deletes the current task

Update Task : Updates the current task changing the database state of the task with the new properties.

 

 

               

11. Adding/Updating Resources

 

Resource Adding : When the user is redirected to the resource creation page, he/she will be displayed the following page:

 

 

 

 

Button Functionalities

 

Create Resource :  Creates a resource with the entered resource name, status chosen and the description given.

 

 

Resource updating has the similar interface, with the selection of a resource from the resources list for a project/task, this resouce will be displayed on the screen and the user can change the resource data or just view the its properties:

 

 

 

 

 

 

12. Monitoring Available Resources

 

 

 

The page displays the resources available for a project/task. User can select from the resource to update/view its properties. The user also can filter the resources according to their statuses.

 

 

 

13. Creating Groups

 

There can be groups of people who are assigned the parts of a given task and these groups can have group leaders. These group leaders can be assigned high priority permissions as admins, or directly admins can be assigned to a group. The group creation page is shown below:

 

 

 

 

Button Functionalities

 

Assign Admin to Group :  Assigns an admin or  a group leader who has the admin permissions to the group.

 

Add Member to Group:  Adds company members to the group, by letting them be chosen from the list of members.

 

Create group :  Creates the group with the users and admins/group leaders selected.

 

 

 

14. Uploading  Files

 

A user can upload files that he/she wants to share, to a project. The user can add a description to the file by using the description box on the right of the page.

 

 

Button Functionalities

 

Browse :  The file can be browsed in the user’s computer by clicking on this button. 

 

Upload:  When the user selects a file as the result of browsing, this button should be clicked to upload the file to the database.
